Configure LeadTasker

From the "Configuración" tab you adjust how LeadTasker organizes your contacts and conversations, and from "Automatizaciones" you decide what it does on its own.

Path: menu AI Agents ("Agentes IA") → LeadTasker → "Configuración" tab (/inbox?view=configuracion). It has four sub-tabs: "Atributos personalizados" (custom attributes), "Etiquetas" (tags), "Respuestas guardadas" (saved replies) and "Archivos" (files).

Custom attributes

Use these to store your own business data on each contact or conversation (for example, "VIP level").

  1. Open "Atributos personalizados".
  2. Choose the "Modelo" (model): "Contacto" or "Conversación".
  3. Fill in the "Nombre visible" (display name, e.g. "Nivel VIP") and the internal key (clave interna).
  4. Optional: define a list of comma-separated values (e.g. "oro, plata, bronce") or a regex pattern.
  5. Click "Agregar atributo".

Tags

  1. Open "Etiquetas".
  2. Type the tag name and click "Añadir".

You can then assign tags to conversations from the actions panel.

Saved replies

These are reusable messages you insert when replying by hand.

  1. Open "Respuestas guardadas".
  2. Fill in the "Atajo" (shortcut, e.g. "saludo"), the "Título visible" (title) and the reply content.
  3. Click "Agregar respuesta".

When you take control of a conversation, you can insert them from the "Respuestas guardadas" button in the reply box.

Files the agent can send

In "Archivos" you upload the documents LeadTasker can send a customer when they ask (catalog, menu, price list), up to 10 MB each. The agent sends only these files: it can't reach any other document of yours.

warning

Whatever you upload here is accessible through its link, because WhatsApp and the other channels download the file on their own. Don't upload private documents.

Automations

Path: LeadTasker → "Automatizaciones" tab (/inbox?view=automatizaciones).

Each automation is a card with its status ("Activa" / "Pausada") and the "Activar" or "Pausar" buttons. If your plan doesn't include it, you'll see "Desde plan …" (from plan …) and "Ver planes".

  • "Seguimiento Automático" (automatic follow-up — Pro plan, off by default). If a customer stops replying, LeadTasker writes to them again. You set the hours without a reply before each follow-up (12 by default) and the maximum number of follow-ups (3 by default). On WhatsApp you can only write within 24 h of the customer's last message; to keep following up after that, turn on "Seguir por WhatsApp fuera de las 24 h con la plantilla aprobada" (follow up on WhatsApp after 24 h with the approved template — off by default, and Meta charges for every template sent).
  • "Recordatorio de Voz" (voice reminder — Pro plan). LeadTasker calls the customer some hours before their appointment (24 h by default) to remind them. It uses your plan's voice minutes.
  • "Detección de Quejas" (complaint detection — on by default, every plan). Detects upset customers and, with "Auto-escalar al dueño", hands you the conversation. Higher sensitivity catches subtler complaints.
  • "Onboarding de Clientes" (customer onboarding — off by default). When a contact moves to the "Ganado" (won) stage, LeadTasker sends them your welcome message on their channel.

Automatic rules: "when X happens, do Y"

On the same tab, under "Reglas de automatización" (automation rules), you create your own rules without writing code:

  1. Click "Nueva regla" (new rule) and give it a name.
  2. Under "Cuando…" (when…) pick the trigger: a contact is created, it changes stage (to any stage or a specific one) or it has been N hours without activity.
  3. Under "Entonces…" (then…) pick the action: send a message on their channel (with the variables {{name}} and {{company}}), move stage, notify the team, create a task or have LeadTasker write and send a message following your instruction.
  4. Optional: "Ejecutar máximo una vez por contacto" (run at most once per contact).

Each action is logged in the contact's activity with the "Automatización" tag. Deleting a rule doesn't undo what it already ran.
